Administrative Assistant

Be a part of something big—work at United Way! If you are looking for a rewarding opportunity to utilize your organizational and communication skills, the ability to multi-task in changing situations, while supporting multiple individuals in our Community Impact department, this may be the fast-paced position for you. Greater Twin Cities United Way unites caring communities to build pathways out of poverty, creating opportunity for all.

Description of Duties
• To provide a wide array of administrative support functions with primary support to the VP, secondary support to other team members including managers and directors.
• funding, including timelines, and application and report training; application review and processing; agency agreements; data maintenance
• Managing Community Impact software data input and tracking of grants and partner agency information
• Coordination of meetings for the Community Impact team including volunteer committees, convenings and external stakeholder groups including scheduling, logistics, materials and minutes.
• Assist the Operations team in development of processes to improve efficiencies and work flow

Specifications
• Bachelor’s Degree, 1-3 years administrative team support experience, preferred
• Outstanding organizational, coordination and task oriented skills (including the ability to track multiple tasks simultaneously, exceptional attention to details, good planning skills and effective follow-through to meet deadlines).
• Advanced computer skills in Microsoft Office (Word, Excel, PowerPoint, Outlook, etc.), database experience, and the ability to master new software programs as appropriate with accurate data entry skills, and ability to edit for spelling, punctuation and grammatical errors.
• Experienced Calendar Management, Outlook preferred.
• Demonstrated ability to take meeting minutes.
• Skills/experience in Microsoft CRM and/or SharePoint platforms a plus
• Skills/experience managing complex internal and external calendars
• Ability to problem solve, demonstrate initiative and resourcefulness to include working as a team and independently and working under pressure to meet goals.
• Excellent customer service skills, including written and oral expertise, demonstrating good judgment, decision-making and negotiation skills with an ability to respect and relate effectively both internally and externally to diverse populations.
• Adaptability and flexibility, ability to maintain professional demeanor in a fast-paced, high demand environment.
• Grant management experience a plus
• Ability to travel to local meetings, when needed.
